01 Your Role at a Glance

As a Welcome Guide, your job is simple but powerful: make new members feel like they belong from the very first moment.

You're not a therapist, a doctor, or a tech support person. You're a real human who says, "Hey β€” I see you. I'm glad you're here. Let me show you around."

Time commitment: Most Welcome Guides spend about 15–30 minutes per week checking in on new members. There's no required schedule β€” just show up when you can.

02 First Steps After Approval

Once your Welcome Guide application is approved, here's what happens automatically:

  1. You get the Welcomer role β€” it shows on your profile and unlocks your Welcome Guide badge.
  2. You're added to the Welcomers Circle β€” a private, hidden circle just for Welcome Guides and admins. You'll see it in your "My Circles" list.
  3. You'll get an email confirmation with your next steps.

Your first week checklist

03 Finding New Members

New members are the people who just joined The Club and might be feeling overwhelmed, unsure, or just plain quiet. Here's how to find them:

Method 1 β€” Members Directory

  1. Tap Community in the bottom nav
  2. Tap Members in the quick-access bar
  3. Sort or browse β€” newer members are often at the bottom of activity lists or haven't posted yet
  4. Look for members with no posts, no profile photo, or who joined in the last 1–2 weeks

Method 2 β€” Welcomers Circle Updates

Admins may post new member names or batches in the Welcomers Circle. Check for pinned posts or announcements with the latest joiners.

Method 3 β€” Inner Circle / Clubhouse Feed

Watch the main Clubhouse feed on your Dashboard. If someone makes a first post β€” especially a tentative one β€” that's a great person to reach out to.

Pro tip: You don't need a formal list. If you see someone new and quiet, reach out. That's the whole job.

04 The Welcome Playbook

Here's the simple 3-step process for welcoming a new member:

Step 1 β€” Send a DM

  1. Go to Community β†’ Members
  2. Tap the new member's profile card
  3. Tap "Send Message"
  4. Send a warm, short message (see templates below)

Step 2 β€” Point them somewhere helpful

Based on what they share (or what you can tell from their profile), point them to one or two things:

Step 3 β€” Follow up once (optional but powerful)

A few days later, send a quick check-in: "Hey β€” just checking in. Did you find what you were looking for?" That second touch makes a huge difference.

05 Message Templates

Feel free to use these as-is or adapt them to your own voice. The more natural, the better.

The Classic Welcome

"Hey [Name]! πŸ‘‹ Welcome to The Club β€” I'm [Your Name], one of the Welcome Guides here. Just wanted to say hi and let you know I'm around if you have any questions or need help finding your way around. This place is full of good people. Glad you're here!"

The Newly Diagnosed Welcome

"Hi [Name], welcome! I saw you just joined and I wanted to reach out. If you're anything like most of us, the beginning can feel like a lot. Just know: you're in the right place. If you're not sure where to start, I'd recommend checking out the Member Guide under Resources β€” it walks you through everything. And Lil Bryce (the AI coach) is actually really helpful for those middle-of-the-night questions. I'm here if you need anything!"

The Care Partner Welcome

"Hi [Name]! Welcome to The Club. I noticed you joined as a care partner β€” thank you for being here. There's a Care Partner Circle that's really great for connecting with others in a similar role, and Journey Guides can match you with someone who understands what you're going through. Happy to point you in the right direction anytime."

The Follow-Up Check-In

"Hey [Name] β€” just checking in! Have you had a chance to look around? Let me know if there's anything I can help with or if you're looking for a specific group or resource. 😊"

06 When & How to Hand Off

You don't need to have all the answers. Here's when to connect someone with the right person or resource:

The golden rule: You're the bridge, not the destination. Point people to the right place and you've done your job perfectly.

07 Your Welcomers Circle

The Welcomers Circle is your home base. It's a private, hidden circle that only approved Welcome Guides and admins can see.

Can't see it? If the Welcomers Circle isn't showing up in your circles list, your role may not have synced yet. Give it a few minutes, restart the app, or reach out to an admin.

09 Common Questions

How many people should I welcome per week?

There's no quota. Even one person per week makes a difference. If you have time for more, great. If you're busy, that's okay too.

What if someone doesn't reply?

That's totally normal. Some people are quieter. Send one follow-up after a few days. If they still don't reply, no worries β€” you planted the seed and they know you're there.

What if someone is in distress?

Take a breath. You're not expected to handle crises. Point them to the SOS button (emergency contacts), suggest the 988 Suicide & Crisis Lifeline if it's serious, and flag it in the Welcomers Circle or DM an admin.

Can I also be a Club Host or Circle Host?

Yes! You can hold multiple volunteer roles. Apply for additional roles through Community β†’ Get Involved.

What if I need to take a break?

No problem at all. Post in the Welcomers Circle to let people know, and pick up when you're ready. This is supposed to feel good, not like a job.

Where do I send a DM again?

Community β†’ Members β†’ tap their card β†’ "Send Message". Or: Community β†’ Messages β†’ DM tab.
